Hosting, access, agreements, where the data lives. Owners come to us so they never have to deal with any of it. What follows is what we take care of, written down for whoever on your side needs to check.
What we take care of
- Where it lives.Your data stays in your accounts: the software you use, your email, your accounting, your file storage, your AI usage. We host and run the automations that work on it. Either way it is not something you manage.
- Agreements first.A non-disclosure agreement as standard. A data processing agreement, and a business associate agreement where patient data is involved, before any access is granted.
- Named access, then gone.Access is scoped to what the system needs and tied to a named person. It lasts as long as we run the system, and is revoked the day you leave. Nothing runs through a shared login.
- Your data trains nothing.It is never used to train an AI model, ours or anyone else's. We use providers whose terms say so, and we turn off data retention wherever they offer it.
- You can take it with you.Turning a system off is free. If you want a system in-house or somewhere else, we move it across and hand it over to whoever takes it on.
If someone on your side has to check
Healthcare, financial reporting and anything with audit obligations bring specific requirements. We would rather hear them on the first call than discover them in month two.
We keep a written record of what each system we run reads from and writes to. Most owners never look at it. Your compliance advisor can have it on request.
If they have a questionnaire, send it. We will complete it before we start, not after.
